This page is for the convenience of the Town in soliciting most bids.  However, at the Town's discretion, not all bids will be included on this page.  Further, as the Town does not have a system in place whereby vendors, contractors, consultants, etc., can be automatically notified by the Town of bid solicitations, such entities are encouraged to periodically check this website or The Herald of Randolph.


Printing of Town Report 2017

The Town of Randolph, Vermont invites bids for printing, binding, delivery, electronic version of the Annual Town Report, for calendar year 2017.  Bids must be submitted on the forms provided.  Sealed bids, marked “2017 Annual Report Bid” must be clearly marked on the outside of the envelope and received by the Town of Randolph, Town Manager’s office no later than December 12, 2017 by 2:00 p.m. at which time they will be publicly opened and read.  Emailed or fax bids will not be accepted.  A Notice of Award will be mailed to the successful bidder.  Any questions regarding the RFP must be received in writing to no later than 12:00 p.m. on December 6, 2017.  The late questions may not be answered.  The Town reserves the right to reject any or all quotes, waive minor informalities.  Prospective award will be based on services with a possibility of an additional two-year contract, if services are satisfactory for the first year. 


Instructions to Bidders

  1.       All bidders must identify envelope as “2017 Town Annual Report Bid”.
  2.       Bidders must provide bid on the form provided.
  3.       Bids must be received in a sealed envelope.  Emailed or Faxed bids will remain as received open and the Town will not be responsible for the disclosure of the bid.
  4.       Bidders should include samples of Town reports they have printed in the past; and references from other towns if available.

General Considerations

The successful bidder shall provide perfectly bound Town Reports for the Town of Randolph within the required State Statute time restraints.

  1.        Quantity:  850 books with pricing for an increase and decrease of number of copies in increments of 50 books.
  2.       Photos:  Cover:  Color/Graphics                   Inside pages:  black & white
  3.       Page size:  8.5” x 11”Interior pages: 
  4.       Interior pages:  Based on  160 formatted interior pages, but include cost for increase pages in decrease number of pages (4 page increments).
  5.       Covers:  Base bid on cover 50 lb. cover stock/white/coated both sides with color photos
  6.       Inks:  Black except color photo on covers
  7.       Binding:  all books to be perfectly bound
  8.       Timing:  All town formatting provided electronically by PDF and hard copy and will be available to printer by 4:00 on February 5, 2018.
  9.       Delivery:  Annual Reports must be delivered to the Randolph Town Hall in cartons by 2:00 p.m. on or no later than February 22, 2018. 
  10.   Terms:  Payment will be made within 30 days after receipt of books and invoice.
